How to cancel, what happens to your access, and when we refund a payment.
Last updated: September 6, 2026
Every FaceBioTime account starts with a 7-day free trial. No card details are required to start it, and nothing is charged when it ends. If you do not subscribe, the account simply stops being usable — you are never billed for a trial.
We would rather you found out during the trial that FaceBioTime is not right for you than ask for your money back afterwards.
Our order process is conducted by our online reseller Polar Software, Inc. (3500 South DuPont Highway, Dover, DE 19901). Polar is the Merchant of Record for all our orders and handles all billing, payment queries, invoices, and refunds.
Charges appear on your statement as Polar rather than FaceBioTime. Any applicable sales tax or VAT is calculated and collected by Polar for your country.
You can cancel at any time. There is no cancellation fee and no notice period.
Cancelling stops the next payment. It does not cut your access off immediately: you keep full access until the end of the period you have already paid for. A monthly subscription cancelled on day 3 still runs to day 30.
Within 14 days of your first payment on a plan, we will refund that payment in full, for any reason. Email us and we will arrange it through Polar.
After that window, payments already taken are not routinely refunded, because cancelling stops future charges and you keep the access you paid for. We are not trying to keep money from anyone who feels badly treated — if something has gone wrong, tell us and we will look at it.
We will always refund where the service was unavailable for a sustained period through our fault, or where you were charged in error — a duplicate payment, or a renewal after you had asked us to cancel.
Refunds are returned to the original payment method by Polar. Their processing usually takes 3–10 business days, depending on your bank.
Annual plans are charged once, up front, for twelve months at a discount against the monthly price. The same 14-day window applies to the first payment.
After 14 days, an annual plan can still be cancelled to stop it renewing, and you keep access for the remainder of the twelve months, but the payment is not refunded pro rata.
You can move between plans at any time from your dashboard. Moving to a larger plan takes effect immediately. Moving to a smaller one takes effect at your next renewal, so you keep the capacity you have paid for until then.
Cancelling does not delete anything straight away. Your attendance records, employees and payroll history remain in your account, and resubscribing restores access to all of it.
If you want your data exported or permanently deleted, email us and we will do it. Deletion is irreversible, and it includes the facial recognition data held for your employees.
For anything about billing, cancellation or a refund, contact us first — we can usually resolve it faster than Polar can.
